Enrollment and Payment

Enrollment Process

Enrollment is to be completed online through the academy’s official website. Students can purchase their passes directly from the site.

Upon registration and payment, students will receive a 4-week pass. This pass covers 4 credits, each of which can be used for one class during the designated 4-week period.

To complete the enrollment, students are required to provide their full name and contact details when completing the purchase online.

Payment Methods

Payments can be made either by credit card at the time of registration.

Cancellation and Refund Policy

In the event of a cancellation by the academy (including class cancellations or special events), the student will receive a credit voucher for one class, equivalent to one credit from the 4-week pass. This voucher may be used for a future class, subject to availability.

Please note, no cash refunds will be issued under any circumstances.

Refund Policy

All payments are final, and no cash refunds will be issued.

- If the academy cancels a class or event, students will receive a credit voucher equivalent to the missed class, which can be used for a future session (subject to availability).

- In cases of student illness or emergency, and upon presentation of valid evidence (e.g., medical certificate), the academy may issue class credits at its discretion.

- Unused credits expire after the validity period of the pass (4 weeks) and cannot be refunded, transferred, or extended unless agreed by management in exceptional cases.

Attendance

Attendance and Punctuality

Students are expected to be ready and present at the scheduled start time of the class. The class will begin promptly at the designated time. To ensure respect for all participants, students should be prepared and on time, allowing the instructor to plan the session according to the number of attendees present that day.

Absences and Missed Classes

No refunds will be issued for missed classes. If a student can provide evidence of illness, an additional credit will be offered to be used during the following weeks.

If a student misses a class and fails to complete the 4 credits within the 4-week period, the instructor reserves the right to consider any remaining credits invalid.

Behaviour and Discipline

Code of Conduct

Students are expected to display respectful behaviour towards their peers and instructors at all times. Students should remain silent when the instructor is explaining something, but also feel free to ask questions or raise any concerns they may have regarding the class.

Consequences for Misconduct

Any student who fails to adhere to the code of conduct may be subject to disciplinary action, which may include a warning, temporary ban, or permanent expulsion from the academy, depending on the severity of the behaviour.

Respect and Safety

The academy is committed to maintaining a safe and respectful environment for all participants. Any form of harassment, discrimination, or inappropriate behaviour will not be tolerated. The academy upholds a zero-tolerance policy towards bullying, and all students are expected to contribute to a positive, inclusive atmosphere.

Health and Safety

Accident Insurance

The academy is covered by appropriate accident insurance to ensure that all students and instructors are protected in the event of an accident during classes.

Health and Safety

Students are encouraged to wear proper dance footwear to minimize the risk of injury. A proper warm-up before class is also recommended to prepare the body and reduce the chances of strain or injury.

Medical Emergency Policy

In the case of a medical emergency, the academy will take immediate action to contact emergency services if necessary. Students are responsible for informing the academy of any medical conditions that may affect their participation in the classes. By enrolling, students acknowledge that they are participating at their own risk and agree to take responsibility for their own health and safety during class.

Photography and Recording Policy

Use of Images and Videos

By enrolling, students agree to allow the academy to take photographs, videos, or other content during classes or events for promotional purposes, including use on social media platforms.

Students are only permitted to record during class when explicitly instructed by the instructor, and recording is not allowed during explanations or demonstrations.

Any content recorded within the academy will be used solely for promotional purposes and will never be used inappropriately.

Equality and Diversity Policy

Inclusivity

The academy is fully inclusive, welcoming individuals of all ages, genders, ethnicity, and abilities. We are committed to providing an environment where everyone feels valued and respected, and we celebrate diversity in all its forms.

Adaptations for Special Needs

The academy will make reasonable accommodations for students with special needs whenever is possible, ensuring that all individuals can participate fully in the classes. If a student requires specific adjustments, they should inform the academy at the time of registration so that we can make the necessary arrangements.


Dance Roles Policy

Roles in Salsa and Bachata

Partner dances such as salsa and bachata involve two roles: Lead and Follow.

- The Lead initiates and guides movement.

- The Follow interprets and responds to signals.

Roles are not based on gender, all students are encouraged to choose the role they prefer, and many explore both to become more versatile dancers.

Respect, safety, and clear communication between partners are essential. Students are expected to respect boundaries and ensure a comfortable and inclusive learning environment.

Class Cancellation Policy

Cancellation by the Academy

The academy reserves the right to cancel a class or event due to unforeseen circumstances, such as instructor illness, extreme weather conditions, or other emergencies. In such cases, students will be credited with an amount equivalent to the missed classes during that period.

Cancellation by the Student

Students are required to use their 4 credits within a 4-week period. In cases of extreme necessity, such as illness or emergencies (similar to the examples provided above), students must provide a medical certificate to justify their absence.

Privacy and Data Protection Policy

GDPR Compliance

The academy is committed to complying with the Data Protection Act of Scotland and the General Data Protection Regulation (GDPR) in relation to the handling of personal information provided by students. All personal data will be processed in a secure and lawful manner.

Confidentiality

The personal information of students will be kept confidential and will only be shared with third parties with explicit consent or where required by law. The academy ensures that data will be used solely for the purpose for which it was collected.

Event and Performance Photography Policy

Rights to Photographs and Videos

The academy reserves the right to take photographs and videos during events, classes, or performances and to use these images for promotional purposes on social media platforms.

Enrollment Cancellation or Expulsion Policy

Cancellation Process

A student may cancel their enrollment at any time. However, it is important to note that no refunds will be provided for any previous memberships or unused credits.

Expulsion Due to Behavior

The academy reserves the right to expel any student who fails to adhere to the behavior standards outlined in the previous policies. This includes repeated violations of the conduct guidelines or any other disruptive behavior.

Belongings and Theft Policy

Personal Responsibility

Each student is responsible for their personal belongings during classes and while on the academy's premises.

Secure Storage

If the academy provides secure storage spaces, students are required to use them appropriately to store valuable or personal items. The academy is not responsible for any items that are lost or stolen.

Internal Investigation

The academy will take reasonable steps to investigate any theft incidents, such as speaking with staff, reviewing security camera footage, or other appropriate actions. However, the academy cannot guarantee the recovery of the stolen items or the identification of the responsible party.

No Responsibility of the Academy

The academy is not liable for any lost, stolen, or damaged items within the premises.

Preventive Measures

The academy employs security measures such as surveillance cameras and trained staff to help ensure the safety of the premises. Students are advised not to bring high-value items, such as expensive jewelry or electronics, to minimize the risk of loss or theft.

Lost Items Policy

If items are left behind or forgotten, they will be placed in a designated lost and found area. Students should claim their items within a set time frame, after which unclaimed items may be discarded or donated.
